Responsible for organising multifaceted projects including events, webcasts, printed materials and online activities on behalf of the pharmaceutical clients. As well as maintaining and building strong client relationships and managing the internal project teams.

Main duties include:

  • Lead weekly client and project team calls/meetings at the start of each project to identify the scope of projects
  • Be involved in all weekly client and project team calls/meetings to support the Account Manager
  • Develop strong client relationships throughout the lifecycle of the event including onsite at meetings
  • In partnership with the Account Manager keeping the client and local representatives abreast of their meetings
  • Creating client budgets as well as monitoring and reviewing the tracking and reconciled internal budgets
  • Ensure that any out of scope activities are charged back to the client and proposing the amounts
  • Work closely with the Client Services Director and Business Development team to create new business opportunities with existing clients
  • Ensure that a projects comes in on time and within budget
  • Direct line management of the Account Executives and Account Managers
  • Be involved in developing pitch presentations for new business with existing clients
  • Assist the Editorial team in developing the agenda and KOL suggestions for any project
  • Liaison with speakers, including commissioning speakers, reviewing the speaker brief and maintaining relationships
  • Overseeing client approvals on zinc/mercury/atlas
  • Managing the promotional plan for projects and all of the promotional materials associated with the project to ensure that delegate numbers are tracking
  • Track project timelines ensuring that the project team are keeping both the client and the internal teams fully aware of status of the project throughout its lifecycle
  • Manage and review the production of all event materials including promotional items and onsite collateral
  • Attend events and assist with the set-up as well as manage onsite venue contact, production teams, speakers and clients
  • Manage post-event processes with the client to ensure they are full de-briefed and all new business opportunities explored
  • Mentor and motivate the project teams to manage their work load and assist with training needs
  • Work with the Client Services Director to ensure that the systems and processes are created and being followed
  • Inform the Client Services Director of any issues at any stage of the lifecycle of the project
  • Manage the teams weekly work plans and flag to the Client Services Director when any extra resource may be needed
  • Foster good working relationships with the wider team e.g. Editorial and Business Development
  • To carry out any reasonable project work / ad hoc tasks as requested by direct line manager
  Essential Desirable
Qualifications Educated to degree level or equivalent Additional event or project management qualification
Experience
  • Previous experience working within either a medical communications agency or pharmaceutical events team
  • A minimum of 4 years experience at Account Manager level or equivalent  working within a team environment
  • Hands on experience of all aspects of running an event e.g. speaker/venue liaison, AV, marketing printed collateral)
  • Experience working with HCPs and medical writers to develop content for meetings
  • Mentored team members
Previous line management responsibilities
Knowledge Computer literate:
  • Database knowledge
  • Good knowledge of Microsoft Office Suite (Word, Excel, Outlook and PowerPoint)
  • Fully trained in the ABPI code of practice
  • An understanding of ZINC or other similar pharma industry approval process
Good knowledge of UK venues and hotels
